Does UCR Hospitality Services rent out all meeting rooms on campus?
Unfortunately, we do not. We are responsible for Housing, Dining, & Residential venues. That includes the Alumni & Visitors Center, Bannockburn Village, Glen Mor, Aberdeen-Inverness, Lothian and Pentland Hills. Additional venues are available through the Highlander Event Scheduling Office at (951) 827-3215.

Where do I start if I want to plan an event in your meeting room?
Explore our Plan an Event section or browse our venues. If you already have an idea about your event, complete a Request a Quote and you will be contacted by an event coordinator. In our venues we coordinate the room set-up, guest parking, AV/media needs, rentals, florals,and catering services. Let us take the stress out of event planning so you can focus on the content of your presentation or event.

Do you have to be a UCR student, staff or faculty to have an event in your meeting rooms?
You are not required to be affiliated with UCR to host an event in our meeting rooms. If you are a non-UCR affiliated group, we do have event insurance requirements that are very easy to obtain and affordable.

Do you offer discounts for UCR alumni?
Although an alumni-discount is not offered, our meeting rooms and catering packages are priced competitively. We will work with you to identify what we can do within your budget.

Is there a discount for student organizations?
Some of our meeting rooms are offered at a discounted rate for registered student organizations in good standing. Please contact us for more information on our rates.

Do your rooms have WI-FI access? How do you access it?
Most of our meeting spaces do have WI-FI access on the UCR Wi-Fi network that is open to UCR students, staff and faculty. If you need Wi-Fi, please let your event coordinator know, so we can select the right meeting room for you. Additionally, if your guests include non-UCR affiliated attendees, we provide wireless guest codes upon request.

Can we bring in our own food or use our own caterer?
UCR has three exclusive caterers to provide anything you need: Citrus Grove Catering, CRATE and UCR Subway Caters. Because of this, no outside food is permitted in any of our meeting rooms.

Can we take our leftovers with us? If not, what do you do with it?
You are allowed to take non-perishable items, such as baked goods, with you, but we do not provide to-go boxes. Because we are concerned about food safety, we do not recommend removal of potentially hazardous foods, as they have a short expiration time and may become unsafe for consumption. Unserved surplus food is donated to Inland Harvest, a local nonprofit food bank that helps feed community members in need.

Can we have a live band at our event?

How does event-parking work? How much does it cost?
Your event coordinator will recommend the parking lot that is most convenient for your meeting room. Your event coordinator will also coordinate your pedestrian signage and parking attendant needs for you. Pricing varies by event type and guests. Speak with an event coordinator for more details.

Are tables and chairs included in the room rental price?
Our rooms are equipped with standard tables and chairs. Additional customization options are available and arranged by your event coordinator for an additional fee.

Can we serve alcohol at our event?
Yes. We allow beer and wine to be served at the Alumni & Visitors Center. Beer and wine must be provided by the event host and there is no corkage fee! The campus does have a permission-to-serve process that requires a lead-time of 20 business days.

What AV equipment is available in your meeting spaces?
Most of our meeting spaces are equipped with projectors and screens. Our larger meeting spaces have either computer sound or full microphone capabilities. If the meeting space you have chosen is not equipped, we will coordinate your AV needs.

Is insurance required for my event?
